RollCall Live Documentation

RollCall Live is a real-time participant roll-call board for any Zoom meeting, built for attendance and quorum tracking. This page documents how to add the app to your Zoom account, how to use each feature, and how to remove the app and delete your data. It is the canonical documentation for the app; for quick setup see the Getting started guide.

Adding the app

Who this is for: the administrator who will run the meeting — for example a meeting host, board secretary, clerk, or chair. RollCall Live is a single-role app: the person who installs it manages the board. There is no separate end-voter login; participants simply join your Zoom meeting as usual.

Prerequisites

  • A Zoom account that is allowed to add apps from the Zoom App Marketplace. If your organization restricts app installs, ask your Zoom account admin to approve RollCall Live or install it for you.
  • The Zoom account you use to install must be the same account that will host the meetings you want to track — the board only receives events for meetings hosted by the installing account.
  • A modern web browser (Chrome, Edge, Firefox, or Safari) to open your board.

Steps

  1. Open the RollCall Live listing on the Zoom App Marketplace and click Add (or click Add to Zoom from rollcall.live).
  2. Review the permissions RollCall Live requests — the ability to identify your account and to receive meeting and participant information for your meetings. Click Allow to authorize the app.
  3. You are redirected to your own private board. On this first screen the board shows your one-time view code and admin code. Save both somewhere safe — they are shown only once. Share the view code with anyone who should watch the board; keep the admin code private, as it is required to make changes.
  4. Confirm that the Zoom account shown on the setup screen is yours. If it is not, close the page and do not use the codes.
  5. Bookmark your board link (rollcall.live/b/<your-account>). This is where you will run every roll call.

Usage

Each feature below includes what it is for and what you need before using it. All administrative actions require your admin code; simply viewing the board requires the view code.

Upload and classify your roster

Use case: Load your membership list once so that everyone who joins the meeting is automatically labeled Voter, Observer, Guest, or Unmatched against your roster — no reading names off the Zoom participant list.

Prerequisites: your admin code; a UTF-8 CSV file with names, emails, and roles (plus any extra columns you want, such as Region or Chapter). See the Roster CSV guide for the exact format and a sample file.

Live roll call

Use case: See who is present in real time. As participants join and leave your Zoom meeting, the board adds and updates their rows within seconds and shows live tiles for Voter, Observer, Guest, Unmatched, and Total.

Prerequisites: the meeting must be hosted by the Zoom account that installed RollCall Live; your board open in a browser with the view code entered.

Quorum tracking

Use case: Set the number of attendees required for quorum. The quorum tile counts live and records the exact moment quorum is reached, giving you a defensible timestamp for your minutes.

Prerequisites: your admin code to set the target; an active roll call.

Freeze the roll

Use case: When you need a definitive record of who was present at a specific moment, capture it in one click. A frozen roll is immune to later joins and leaves, so your record of that moment cannot drift. For example, freeze the roll the instant a vote is taken — by show of hands, Zoom poll, or another tool — so you can reconcile the tally against exactly who was present and eligible at that moment.

Prerequisites: your admin code; an active roll call. Frozen rolls are retained for 30 days.

Fix unmatched or duplicated participants

Use case: Reclassify someone who joined under a nickname, device name, or phone number, and rely on automatic de-duplication so a person on two devices is counted only once. Every manual correction is logged.

Prerequisites: your admin code; the participant present on the board.

Exports

Use case: Produce a records-quality file for your meeting minutes — export the attendance log, per-person durations, or any frozen roll as CSV.

Prerequisites: your admin code; attendance data from the current or a recent meeting (attendance logs and frozen rolls are retained for 30 days).

Sync from Zoom (Zoom Business+ only)

Use case: Pull in anyone who joined before you opened the board, and re-check the live participant list against the board as a backstop.

Prerequisites: the installing account must be on a Zoom Business, Education, or Enterprise plan, which grants the Dashboard API this feature relies on. On other Zoom plans the Sync button is hidden and the board still updates automatically from live join/leave events.

Removing the app

How to remove RollCall Live

  1. Sign in to the Zoom App Marketplace at marketplace.zoom.us.
  2. Click Manage, then Added Apps (or search for RollCall Live).
  3. Find RollCall Live and click Remove, then confirm.

What de-authorization means

Removing the app de-authorizes RollCall Live from your Zoom account. Immediately after removal: the app can no longer receive events from your meetings, your board stops updating and its link stops working, and your access codes are invalidated. Any roll call in progress ends. If you want to keep your attendance logs or frozen rolls, export them before you remove the app.

How we remove your data

When Zoom notifies us that you have removed the app, RollCall Live automatically and permanently deletes all data associated with your account — your roster, live boards, attendance logs, frozen rolls, access codes, stored Zoom tokens, and billing records. Deletion begins immediately on de-authorization and requires no request from you. (Live meeting data also expires automatically after 12 hours, and attendance logs and frozen rolls after 30 days, whether or not you uninstall.) These retention periods match our privacy policy.

Specific requirements

There are no special prerequisites to remove the app — you do not need to contact us first. If you want written confirmation that your data has been deleted, or you want to delete specific data without removing the app, email jp@dataonthespot.com with your organization name, meeting name and date, and account email; see the Data deletion page for details. We verify and complete such requests within 30 days.
