Zoom attendance report vs live roster: what the CSV doesn't tell you

By JP Copeland, Data On The Spot · Last updated 28 September 2026.

Short answer: Zoom's usage report is a log of connections, not an attendance record. It tells you which display names joined and left and for how long, and only after the meeting ends. It does not know your membership, cannot separate voters from guests, does not count proxies, and cannot show quorum at the moment a vote was taken. A live roster match fills that gap during the meeting.

What the Zoom usage report gives you

In the Zoom web portal, Reports → Usage → click the participant count for a meeting → Export. You get a CSV with display name, email if the person was signed in, join time, leave time and duration. If someone dropped and rejoined they appear more than once unless you tick "show unique users". The report is only available to the person who hosted the meeting, and only after the meeting.

When the usage report is enough

Training sessions, webinars, classes, and any meeting where "who showed up and for how long" is the whole question. Export the CSV and file it.

When it is not

Board, union, association, HOA, condo and co-op meetings where decisions depend on who is present. The chair needs the count before the vote, not a spreadsheet the next morning, and the record needs to show members, not display names.

Using both

Plenty of organizations keep the Zoom CSV as the raw log and use the RollCall attendance log and frozen rolls as the attendance record for the minutes. RollCall keeps records for 30 days, so download the meeting pack after each meeting.
