How to see who is in my Zoom meeting in real time

Short answer: open the Participants panel to see who is on the call right now. To see who is missing, you need something to compare against: Zoom's attendance status (calendar invitees only) or a roster-matching app such as RollCall Live, which shows which members are present, absent or unmatched during the meeting.

Option 1: the Participants panel

Click Participants in the Zoom toolbar. You get the display names of everyone currently connected. It answers "who is here" but not "who is not here", and display names are whatever people typed: "iPad", "Mike", "Margaret's laptop". For a stand-up that is fine. For a board or member meeting where specific people have to be present, it is a scan-and-guess exercise.

Option 2: Zoom attendance status

If the meeting was scheduled through a connected calendar with invitees, Zoom can show which invitees have joined, are absent or declined. It helps when your attendee list is the calendar invite. It does not help when your membership lives in a spreadsheet, when people join from a shared link, or when you need to know who is a voting member versus a guest.

Option 3: match participants to your roster

RollCall Live is a Zoom Marketplace app for exactly this. You upload your roster as a CSV (names, and optionally email, region, chapter), tag each person as a Voter, Observer or Guest, and set a quorum target. When the meeting starts, the board shows:

  • which roster members are present and which are not,
  • participants who did not match anyone on the roster, so you can confirm a suggested match or leave them as a guest,
  • a live count of eligible members toward quorum, including recorded proxies and ballots.

Only the organizer installs it. Participants join Zoom as usual. RollCall does not join the meeting and does not access audio, video, chat or recordings.

After the meeting

Zoom's usage report (Reports → Usage in the web portal) lists who joined and left, available after the meeting ends. It is useful for records but it is after the fact; it cannot tell the chair whether quorum was present at 7:42 pm when the vote was called. RollCall's attendance log and frozen rolls are downloadable as a meeting pack; records are kept for 30 days, so save what you need for the minutes.

Which one should you use?

  • Team check-in with a handful of people: Participants panel.
  • Meeting scheduled by calendar invite where everyone has a Zoom account: attendance status.
  • Board, union, association, HOA or co-op meeting with a defined membership and a quorum rule: roster match with RollCall Live.
